How to Automate Client Meeting Notes (Without Losing Compliance)

The 90-minute problem every adviser faces after every meeting — and how AI solves it while keeping your compliance team happy.

Every financial adviser knows the feeling. You've just finished a productive 60-minute client meeting. The conversation was thorough, the advice was sound, the client left happy. And now you have to spend the next 90 minutes turning that conversation into structured file notes, action items, suitability records, and follow-up tasks.

It's the least favourite part of the job for most advisers — and it's also one of the most important. The FCA expects clear records. Your compliance team needs them. Your PI insurance depends on them. You can't skip it.

But you can automate it.

The problem in numbers

According to the intelliflo Advice Efficiency Survey 2026, 87% of advisers who adopt AI start with meeting notes. The reason is simple maths:

  • Average meeting: 60 minutes
  • Average write-up time: 60-90 minutes
  • Meetings per week: 8-12 for a typical adviser
  • Total write-up time: 8-18 hours per week

That's one to two full working days every week spent on documentation. Time that could be spent with clients, on business development, or — let's be honest — going home at a reasonable hour.

How AI meeting summarisation works

The process is straightforward:

  1. Record the meeting — with the client's explicit consent. This can be via your existing video conferencing tool (Teams, Zoom) or a dedicated recording device for in-person meetings.
  2. Automatic transcription — the audio is transcribed using speech-to-text AI. Modern transcription handles accents, cross-talk, and financial terminology well.
  3. AI extraction — a large language model reads the transcript and extracts structured information into a pre-defined template: key discussion points, client's current financial position, advice given, risk profile, agreed actions, follow-up dates, and compliance-relevant statements.
  4. Human review — the adviser reviews the generated notes, makes any corrections or additions, and approves them for filing. This step is non-negotiable.
  5. Filing — the approved notes are filed in your back office system (Intelliflo, Xplan, or your document management system).

The entire process — from meeting end to filed notes — takes about 5 minutes of the adviser's time. The AI does the heavy lifting; the human does the quality check.

What about compliance?

This is the question every compliance officer asks first, and rightly so. Here's how to address it:

The AI doesn't replace the adviser's judgement

AI generates a first draft. The adviser reviews, edits, and approves it before it becomes the official record. The compliance trail shows the AI draft and the adviser's approved version — giving you more transparency, not less.

It catches things humans miss

When an adviser writes notes from memory 2 hours after a meeting, details get lost. AI works from the complete transcript — it doesn't forget that the client mentioned a change in health, or that a specific fund was discussed. In practice, AI-generated notes are often more complete than manually written ones.

Data handling

The key questions for your compliance team:

  • Where is the audio processed? It should be processed in the UK or EU, not sent to servers in jurisdictions with weaker data protection.
  • Is the audio stored? Best practice is to delete the audio after transcription and extraction, retaining only the approved text notes.
  • Is client data used to train AI models? It should not be. Ensure your provider has a clear data processing agreement confirming this.
  • Is there an audit trail? The system should log what was generated, what was edited, and who approved the final version.

Client consent

You need explicit consent to record meetings. Most firms add this to their client agreement and confirm verbally at the start of each meeting. In practice, clients are overwhelmingly positive — they want accurate records too.

What good output looks like

A well-configured AI meeting summariser produces structured output like:

  • Meeting details — date, attendees, duration
  • Key discussion points — summarised by topic
  • Client financial snapshot — current holdings, income, protection, pension position
  • Advice given — what was recommended and why
  • Risk profile — any changes discussed or confirmed
  • Action items — who does what, by when
  • Compliance notes — flags for suitability, vulnerability indicators, or anything requiring further documentation
  • Follow-up — next meeting date and agenda items

Getting started

The firms that adopt this successfully follow the same pattern:

  1. Start with one adviser as a pilot — typically someone tech-comfortable but not necessarily tech-savvy
  2. Run it alongside manual notes for 2 weeks — compare the AI output with what the adviser would have written
  3. Get compliance sign-off on the template and the data handling
  4. Roll out to the team with a 30-minute training session

Most firms are fully live within 2-3 weeks of starting the pilot.
